(CLOSED) People and Culture Coordinator

Closing date: 07 Dec 2009 -- (CLOSED)
Location: Zambia - Lusaka

To coordinate and administer the human resources function for the international staff in Zambia, and to assist in the development and implementation of policies and HR strategic plans.

Recruitment
- Coordinate the recruitment of staff by analyzing requests from departmental heads and preparing and/or assist in developing job descriptions in conjunction with the requesting department.
- Provide management support to all World Vision Zambia (WVZ) recruitment team.
- Working closely with the SAAO Team at the region, and the WVI Recruitment Network, determine ways of soliciting appropriate candidates and assessing applicants through formal interviews.
- Monitors the recruitment process of international and national staff.
- Ensure that all necessary forms are complete and filed in a timely manner.
- Facilitate adequate orientation and induction for all incoming staff.
- Conduct orientation for all new staff members, including benefits orientation and sign-up, employee manual orientation, WVI and WVZ orientation and introduction to the staff

Human Resources Administration and Coordination
- Ensure the proper implementation of the compensation program, including allowances, salaries and benefits of the international contract and seconded staff in accordance with the WVI and SAAO and WVZ guidelines pertinent to the same.
- Oversee the maintenance of all records for each international staff (leave, personnel records, files, performance appraisals, benefits claims).
- Maintains regular statistical reports on international and National Office manpower turnover, recruitment updates and other reports as may be required by the government or WVI, working closely with the People & Culture (P&C) Manager (national staff), and the P&C Teams at the Global Centre
- Prepares contracts, offers of employment, amendments and notices to international contract and seconded staff with the prior approval of the P&C and the National Director or the hiring office.
- Maintains communication link with the international staff on all matters pertaining to their WV employment.
- Update the P&C database with all relevant HR forms for staff and their ease of access.
- Make recommendations as to the changes or improvements needed for the increased well-being of the staff specifically implementation of new guidelines related to benefits and compensation.

Policy Formulation
- Make recommendations for all HR policies concerning international staff to the P&C Director.
- Evaluate current policies and do technical reviews of the existing policies and provide inputs for revisions or upgrading.

Strategic Design, workforce planning and staff well-being
- Assist in working with the management to align HR with the WV Zambia strategic directions.
- In coordination with P&C Director, assist in the development and implementation of HR strategic directions, such as capacity building, staff care, and leadership development.
- Identify training needs and make recommendations as appropriate. Ensure that identified needs are included in the staff development plans.
- Assist in reviewing current HR practices specifically for the international staff and together with the HR team, develop and suggest new and more appropriate ones
- Assist the management in conducting exit interviews of international staff in the program when necessary.

REQUIRED:
- Previous experience in HR recruitment, staff compensation and benefits, staff development and employee relations
- High level of organizational and administrative skills
- Ability to identify new HR techniques, formulate and write new procedures
- Able to communicate clearly and confidently in spoken and written English.
- Ability to work in a cross-cultural environment with multi-national staff, maintaining a standard of appearance and manner to work in a dynamic environment and culture
- Self-motivated and self-directed
- Proactive in seeking creative solutions, taking initiative to bring change and make improvements
- Positive and encouraging thinker, able to build bridges and influence others

PREFERRED:
- University degree with study focus on HR
