(CLOSED) Logistics Officer

Location: Kenya - Nairobi

Reporting to: Senior Logistician (SL)
Contract Length: 1 Year

General Description of the Role

Support the Senior Logistician in managing the logistics function in Nairobi by supporting the field in terms of procurement and analysis.

Key Responsibilities

1. Procurement:

- Follow through on all high value purchase orders and ensure correct approval process is obtained from Head Office
- Assist the SL with analysis of country procurement plans;
- Effecting the procurement of items as required by field including all activities from shipping to follow up from order to delivery;
- Keep the GOAL Nairobi Vendor roster updated
- Follow up with field that order tracking databases are kept updated
- ensure all fields are compliant with regard to GOAL's procurement policies

2. Cost Savings exercise

– Assist the SL to improve procurements for all countries to ensure cost savings are made for GOAL

3. Field Support

– Act as a focal point with the county logistics departments as required by Logistics Department in Dublin.

4. Induction

– Assist the SL in providing induction on logistics processes for field staff

5. Capacity Building

– Assist the SL in training and developing logistics staff across programmes

6. Donor Compliance

– Assist SL in delivering donor compliance initiatives to field staff across programmes

7. Communications and IT

- Review & analyse monthly bills as requested by Dublin

8. Emergency preparedness and response:

- Maintain and administer GOAL’s recommended emergency kits in Nairobi and assist the SL on shipment of these to the field whenever required;
- Ensure all software updates on the laptops;
- In case of emergencies; assist the SL as logistics focal point in Nairobi

9. Be available to travel through Africa and other countries to provide Logistics support across our programmes:

- Undertake other tasks relating to GOAL activities as requested in agreement with the LM and Logistics Manager in Dublin

Candidate Requirements

General Requirements

- A minimum of 4 years in Senior Logistics Management in an International NGO in a field setting.
- A minimum of 1 years experience in setup, management and closedown of Emergency Response with an International NGO.
- Detailed knowledge of relevant Donor guidelines – including USAID, ECHO, EC
- Ability to understand and develop GOAL Logistics Systems & Procedures
- Strong management skills and proven experience in managing teams
- Experience with mentoring and building the capacity of local and international staff
- Strong organisational skills, ability to plan, timetable activities and monitor budgets.
- Excellent communication skills
- Computer Literacy, especially using MS Excel, Word and Outlook.
